Notes:

I.    Current House and Actives

House

-everything in the house passed with the fire inspector except one issue regarding a gap in the doors

-we are currently working with the fire inspector on this issue-nonetheless, occupancy was granted

-we need to replace between 9-15 window in the house

-there are no plans for the kitchen at this time

-$216,000 was spent to get the house up to code

-an extra $10,000 was spent on beds, mattresses, washer/dryer, new AC units, chairs, tables, etc.

-more money will be spent on chairs

-new carpet has been ordered for the chapter room

-Housing Corp. capped everything at $250,000

Actives

-actives secured 32 pledges during rush

-there are currently 15 actives living in the house

-actives do not foresee any budget problems this year

II.   Alumni Association

General Info

-alumni membership is 57 members

-we will file for charter tomorrow (8/31) and this information should be in the next Caduceus

-the welcome letter is finished but we still need membership cards-Matt Rippetoe is working on this

-need to use a local printer for the cards-KE ties?

-creating alumni t-shirts has been discussed

-Eric Wolfe also suggested getting polo shirts printed-he has a contact in Nicholasville that could possibly accommodate this idea

-letter from Reed Hume that details the history from KE’s that initiated in the 50’s has been distributed via e-mail

Regional Meetings

-at the end of September/beginning of October regional meetings will take place in Lexington, Louisvill and Northern Kentucky

-the next big event following this will be Homecoming October 31

- Plan is to have W-KY and E-KY/WV set up before the end of 2009.

Structure of Association

- we need to develop sub committees-social, housing, membership

-ideally, we would like to have at least one member from each region of the state for regional meetings

-Housing Committee-potential participants Justin Drury, Shawn O’Connor, and Jay Roberts (potentially)

-Membership Committee-Pat Downs

-Social-?

-need to ask for other volunteers for these committees through email

Alumni Expansion

-discussion about extending alumni association beyond Beta Nu alums and possibly creating a Kentucky KE alumni association

-SAE has done this and they have over 1000 alums in the association

-if we do this, we would need to put it on Facebook for any KE in Kentucky

-our goal is to have 200-250 alums in our organization by the end of the year. We need to continue to bring in more brothers from our pledge classes.

Homecoming

-actives have area reserved for the KE tent

-we obviously want as many people as possible and therefore the decision was made that the alumni chapter would foot the bill this time for food, nametags, etc. with the hope of bringing in more alums to this event and increasing enrollment

-in the future we'll begin to either collect yearly dues or charge for the tailgate (non-members).

-it is at social events like this that we need to sign up new members-must have applications available.

-Eric Wolfe had the idea of setting up a fish bowl (or something like it) at the tailgate for people to drop in business cards

-we can use this information begin to build a database of occupations and email addresses and maybe put a publication/email together for the members of the alumni chapter

-need to work on nametags for Homecoming-ask Matt Rippetoe to contact Nationals on this

Future House

-arial photo of potential lots for new house presented by Jeremy Nalli and discussed

-timeline for a new house-over the course of the next 12-18 months continue to establish the alumni association, continue to cultivate alumni relationships and then at the following Founder’s Day (2011), announce entire plan

-a brief discussion ensues regarding the merits of fundraising for one or two years

-a suggestion is made that Matt Noble be contacted –he works for UK for fraternity fundraising

-discussion on the cost for a new house

-we will need an additional four million dollars for the house-3.5 for the house and  additional $500,000 for accessories

-What is the plan for the alumni association in regards to the capital campaign?

The capital campaign will work through the university

-discussion on lease for the new house

-UK would lease the land to us for 99 years

-we have not signed a new lease for the current house as we are still negotiating to keep the old one

-After we build the house and we turn it over to the university, what role will Housing Corp. play?

-this has yet to be decided

-Why turn it over to the university if they will not maintain it?

By turning it over, donations are tax deductible

-we need to generate architectural plans through the alumni association for the new house

-if we cannot fill the house, UK will do so with other students not associated with KE

Reminders:

-Regional Meetings-September 26-28

-next event in Lexington Homecoming October 31
